Streamlining veterinary examination rooms for better care

In the ever-evolving world of veterinary care, creating a welcoming and efficient environment is essential for both pets and their owners. This article provides tips and practical strategies for optimising exam rooms, reducing stress, and enhancing the overall experience during visits. From keeping essential tools within reach to leveraging technology for better workflow, these insights are designed to streamline your practice while ensuring that pets feel comfortable and cared for. Keep tools handy (and visits smooth)

Once a pet owner and their pet settle into an exam room, staff should not be frequently popping in and out for supplies. Stock each room with all necessary items for exams and standard procedures, including needles, gauze, slides, and other essential supplies. Ensure these items are organised with frequently used items within arm’s reach.

Involve your team in the process: ask veterinarians and technicians to rank tools by usage frequency, then conduct a mock appointment to determine the best layout that works for all staff. Label items clearly and utilise checklists to maintain stock and organisation.

Make rooms comfortable (for pets and people!)

First impressions matter. A quiet, clean, and calming room helps pets relax, and relaxed pets lead to smoother visits. Consider padded benches instead of chairs that pets can crawl under. Use non-slip mats, unscented cleaners, gentle lighting, and soft colours to create a soothing environment.

Control foot traffic

Excessive movement around exam rooms can disrupt workflow. To minimise crowded lobbies and reduce pet stress, when possible, take pet owners straight to exam rooms upon arrival. Ensure rooms are well-stocked and have the necessary workstations ready to prevent team members from scrambling to find the equipment needed to do their job.

If feasible, design exam rooms with two doors—one leading from the lobby for pet owners and another from the treatment area for staff. If that’s not practical, consider having pet owners wait in their cars and using online or in-room payment options to minimise foot traffic.

Use technology to boost efficiency

Equip rooms with wall-mounted computers, tablets, or laptops so team members can enter notes during visits. Consider using TV screens or monitors in the waiting room to show educational and promotional videos for pet owners while they wait.
